E-Filing

When can I use OJD eFile?

+

OJD eFile is available for filing 24 hours a day, seven days a week. Consult your local court rules for the court’s timelines and schedules for reviewing filing submissions.
Note: The system may be temporarily offline from time to time for maintenance purposes.

Are there court rules that apply to e-filing using OJD eFile?

+

Yes, Uniform Trial Court Rules Chapter 21 sets out court rules for filing and service by electronic means.

What can OJD eFile be used for?

+

OJD eFile can be used to electronically initiate a new case, electronically file into an existing case, or electronically serve documents without filing them with the court. Except for the types of cases listed in UTCR 21.070(3) which must be filed conventionally, any type of case may be initiated through OJD eFile.

You may eFile any document using OJD eFile, except applications for fee waivers and deferrals, and the documents listed in UTCR 21.070(3).

How do I determine the case type if I am initiating a new case through OJD eFile?

+

If you are unable to determine the correct case type from the available drop-down choices, reference the Filing Code Quick Reference Guide located under Information & Resources on the right side of this page, or contact your local court for assistance in determining the correct case type.

What is an envelope?

+

An envelope is a filing submitted to the court. An envelope can contain one or more documents submitted to the court for the same case. OJD eFile identifies filings by their envelope number.

What happens after I submit my filing to the court?

+

You will receive a “Filing Submitted” email confirmation after successfully submitting your documents to the court. A court clerk will review the filing. If the filing is accepted by the court, a “Filing Accepted” confirmation email will be sent to you. If the filing is rejected by the court, a “Filing Returned” confirmation email will be sent to you and will include the reason for rejection. If the corrected filing is submitted within three (3) days of notification of rejection, and you comply with the requirements of UTCR 21.080(5), the court may adjust the filed date. Please consult UTCR 21.080(5) and the OJD Standards for Electronic Filings in Circuit Courts Supplemental Guide for Users (PDF) for more information about rejections.

What do I need to know about filing documents through OJD eFile?

+

Multiple documents may be filed in one transaction if they pertain to the same case. Select Add More to submit documents to the court in a single OJD eFile envelope.

Documents and their incorporated attachments (exhibits, affidavits, declarations, etc.) should be submitted as a single PDF or PDF/A document (see UTCR 21.040(1) and (2)). There are two exceptions to this rule:

  1. Any document requiring the court’s signature (such as a proposed order or proposed judgment) must be submitted as its own PDF document in the same envelope as its supporting documents.
  2. Any document that is confidential (such as a confidential information form) must be submitted as its own PDF document in the same envelope as the other documents that are meant to accompany the document (such as a petition for dissolution).

The file size may not exceed 50 MB per document. Documents greater than 50 MB must be broken down and submitted as separate documents (within the same envelope) that do not exceed 50 MB. Each document should be submitted in order using the same filing code. The filer shall indicate which part of the whole document that the filed document represents (1 of 3, 2 of 3, 3 of 3) within the Filing Comments field. Please break down the document at logical points to ensure ease of use for judges viewing the documents electronically. See UTCR 21.040.

The envelope size may not exceed 75 MB per envelope.

Both color and black-and-white documents are accepted, but black-and-white is preferred.

Internal links, which point to other places within the same document, are permissible and are accepted by OJD eFile. But, external links, which point to other documents, websites, or other legal sources, can be risky and must be avoided in documents submitted to the court. Use of external links can result in format errors that may prevent your document from being accepted by OJD eFile.

After a filing has been submitted, and before the court’s review has begun, an X button is available for that filing in your Filing History. When you hover over the X button, it says Cancel Filing. If the X button is present, the filing has been submitted by OJD eFile but has not yet been reviewed by the court, and the filing can be cancelled. If the X button is not available, contact your local court clerk’s office.

You can view your filed cases by selecting View filing history.

E-Service

What do I need to know about E-Service?

+

Please note, filers are responsible for accomplishing service of all filings as required by the applicable court rules. Filers may use mail service, service by hand delivery, or e-mail service, as permitted by applicable rules.

In addition to the above, for existing cases, filers also have the option to use electronic service (e-service) of a filing through OJD eFile to the designated service contact(s).

There are Service Contacts for every case and those are the individuals being served on the case. Attorneys must ensure they are on the Service Contact list. Please refer to UTCR 21.010(6) and (7) for definitions of “Service Contact” and “Other Service Contact,” and to UTCR 21.100(2) and (3) regarding entry of contact information and selecting service contacts and other service contacts.

You cannot add yourself to a case’s Service Contact list if you have never filed into that case.
Note: Once you have e-filed into a case, it is mandatory to enter your contact information into the case Service Contacts list to ensure that you will receive notification of the e-service of any documents by others in the case. See UTCR 21.100(2).

OJD eFile may also be used to exchange documents between parties in an existing case, without filing the documents through the court, by selecting Service Only on the Filings screen. Courts do not have access to these documents.

For the Service Only option, OJD eFile automatically generates service email notifications for filing transactions after the filing has been submitted. For the eFile and Serve option, OJD eFile automatically generates service email notifications only after the court has accepted the filing.

To receive these service email notifications, you must select this option on the Email Notifications page. Click the drop-down arrow at the top right of the header next to your initials and select Profile. The Profile Information window displays. Select Email Notifications and select the check box for each type of email notification that you want to receive for your case filings. Click Save.
Note: Check your spam or junk folder if you have not received a notification from OJD eFile.

The e-service option allows you to track when each party you electronically served received and opened the filing.

If you are the recipient of a service notification, you should click the link within the email to access the file, and you should print a copy of the documents for your files right away, as the link is available for a limited time only.

Review UTCR 21.010(6) and (7) and UTCR 21.100 to learn the court rules about e-service using OJD eFile.

Fees

What do I need to know about fees?

+

The only fees that users will encounter are statutory filing fees.

A credit card is required to pay statutory filing fees. If you are exempt from paying these fees, you can set up a waiver account, but some type of payment account is required to use OJD eFile.

The Envelope Details screen can be printed for use as a receipt. Select Filing History to locate the case. From the Actions dropdown menu select Envelope Details. To print, click Print in the top right corner of Envelope Details screen.

Information About Firm Accounts

What is a Firm Account?

+

A Firm Account is for all legal professionals, including solo practitioners, and attorneys, paralegals, and staff at firms with multiple filers. A Firm Account is also for large entities with multiple filers, such as government agencies.

What is a Firm Administrator?

+

Individual Accounts do not need a Firm Administrator, but Firm Accounts do need a Firm Administrator.

The Firm Administrator registers the firm and is responsible for setting up and maintaining all information for system users, credit card accounts, and attorneys at the firm. When a new firm is registered, all users added to that firm are associated with the firm. It is recommended that a Firm Account has at least two Firm Administrators in case one Firm Administrator becomes unavailable for any reason.

If a firm has multiple locations, those users can be added to the original firm, but it is recommended that each location registers its location as a new firm with its own Firm Administrator. This way, firm users will see only the filings from their specific location since the Filing History feature located on the Dashboard shows all filings submitted to OJD eFile through the user’s email and also by members of the user’s firm.

What are Firm Service Contacts?

+

Firm Service Contacts are a list of the firm’s contacts that can be attached to the case and can be e-served.
